If you elect to pay an invoice using a debit/credit card or direct debit, that payment will be securely processed in the respective 3rd party payment website and you should ensure that you read and understand their Privacy Notice.

From time to time, you may decide to contact our Customer Service or Accounts teams for assistance with your order. To be able to offer you the best service possible, we may collect certain data from you in order to identify your company’s account with us and to ensure you are authorised to represent your company with respect to this order.

Third Party Vendors
Fruitful Office uses a variety of third-party vendors to carry out services like website management and hosting, potential customer pipeline management, credit card / direct debit processing, and email communications. We only share your personal data as necessary. To provide you with the necessary support when learning about our service and fulfilling the service you have signed up for and only with vendors or agents working on our behalf for the purposes described in this Notice. In this case, your personal information will be shared with these agents or contractors but only for the purpose of performing services on behalf of Fruitful Office and in accordance with this Notice. For example, we rely on our legitimate interest to inform you about our service whilst you are learning about Fruitful Office, or to inform you about different elements about our service (such as our quarterly Tree Planting Campaign update, annual Customer Survey results or new products) when you become a customer of ours. For example, we believe that providing you with more information about our product and service (including sending you a complimentary sample of our product) passes our balancing test for legitimate interest because by navigating on our website and inputting your personal data demonstrates your interest in our service and any potential objection will be responded to by us no longer contacting you or sending you any further sample of our product.
You may always opt-out of us using your personal information by contacting Fruitful Office in the same manner we contacted you (either through our Sales or Customer Service team) or by sending an email to privacy@fruitfuloffice.nl. Please note, however, that there may be occasions where opting out may severely limit or impact our ability to perform our service to you (for example, if you choose not to receive any e-mails from us regarding your account).
Security, Storage and Retention of Personal Information We Collect
Security
Fruitful Office is committed to protecting the security of your personal information. However, while we take reasonable precautions to guard the personal information we collect, no security system is impenetrable.
While no service is completely secure, Fruitful Office takes precautionary measures to help prevent information about you from loss, theft, misuse and unauthorised access, disclosure, alteration and destruction. For example, we store the personal data you provide on computer systems that have limited access and that are in controlled locations. We also ensure that our third-party data centre vendors provide adequate security measures. Additionally, your data is protected with encryption, such as Transport Layer Security (TLS), during transition over the Internet. Please note, your password is stored using one-way hash, which means that it cannot be recovered (or disclosed) by anyone, including Fruitful Office, it can only be reset.
You can only access your online area of our website, so as to manage your account and orders electronically, through the use of an individual user login and password. To protect the confidentiality of personal information, you must keep your password confidential and not disclose it to any other person. Please notify us immediately if you believe your password has been misused. You should always log out and close your browser when you finish your session. Please note, we will never ask you to disclose your password in an unsolicited phone call or email.

Storage
Personal data collected by Fruitful Office may be stored and processed in your region, in the United Kingdom (for example, in our dedicated hosting platform), or in any other European country where Fruitful Office or its subsidiaries or service providers are located or maintain facilities. Fruitful Office has put in place adequate mechanisms to protect personal information when it is transferred internationallyin line with the GDPR. No data is sent outside the European Union.
Retention
Fruitful Office will retain your personal information for as long as we deem it necessary and justifiable to inform you about our services, to provide services to you, to comply with applicable laws (including those regarding document retention), to resolve disputes with any parties and otherwise as necessary to allow us to conduct our business. All personal information we retain will be subject to this Privacy Notice and our internal retention guidelines. We rely primarily on you to ensure that your personal information is complete, accurate and up to date. Please do inform us promptly of any changes to or inaccuracies in your personal information by contacting our Customer Service team. Our Customer Service team will also actively seek to check your data, and update it where required, when they interact with you or your company. We will respond to your request as soon as possible but certainly within 30 days.
Your Choices
Fruitful Office Account
If you wish to access, edit, replace or remove contact information relating to your account, change your password, or request deletion of your personal data, you can do so by contacting our Customer Service team or through your online account area on our website. You can also send an email to privacy@fruitfuloffice.nl. We will respond to any request to access or delete your personal data as soon as possible, certainly within 30 days.
Your Communication, Marketing and Advertising Preferences
When you become a customer of ours we use direct communications, such as emails, to communicate with you important information pertinent to your account, order or service. For example, we may want to inform you about an upcoming holiday, send you our quarterly Tree Planting Campaign update or annual Customer Survey results.
You can opt out of receiving direct communications from Fruitful Office by contacting our Customer Service team and asking us to update your preferences in this regard. You can also follow the instructions included in every email sent to you via the “Unsubscribe” link at the bottom of each email. Please note, however, that this may prevent you from receiving certain important communications concerning your account or order. We respect your choice, and we will no longer send you these informative customer-only distribution emails once you unsubscribe.
Please note, regardless of whether you unsubscribed to our direct customer communication emails, we may continue to communicate with you specifically regarding your account or order as long as our Customer Service or Accounts team feels it must do so to transmit to you important information concerning your account whilst you remain the appropriate contact for this sort of information. For example, we may have to contact you in reply to a query of yours, to address a specific concern related to your deliveries, or to send you an invoice. You can of course stop receiving even this sort of communication by altering the contacts on your account.
